Files Library

The files library is your central place for all uploaded files in your workspace.

Open the files library

Go to Files in the sidebar.

Supported file types

You can upload the following file types:

  • Images -- JPG, JPEG, PNG, WebP
  • Documents -- PDF, DOCX, XLSX, CSV

Upload size limits per file: 5 MB for images, 25 MB for other files. If a file exceeds the limit, the upload is rejected.

Images are automatically optimized and converted to WebP in your browser, and downscaled to fit within 2000 x 2000 pixels. The image size limit is checked after this optimization.

Upload files

  1. Go to Files in the sidebar and click Upload Files.
  2. Drag files into the upload area, or click browse files to pick them.
  3. Choose a Category -- this is required.
  4. Decide whether the files should be public. Turn on Make files publicly accessible if you want them shown on public-facing pages.
  5. Start the upload. You can track the upload status of each file.

A typical workflow: upload a file here, then use it as an image field in the Form Builder.

Category and visibility

  • Category -- Group files so you can find and filter them later. You can choose General, Product, Room, Room Seating, or Form.
  • Make files publicly accessible -- Internal files stay inside your workspace. Public files can be shown to customers on forms, products, and rooms. Choosing the Product, Room, Room Seating, or Form category turns this on automatically, because those files need to be public to appear there.

Find files

Use the filters at the top to narrow down your files by:

  • Category -- group files by their assigned category.
  • Visibility -- filter by internal or public files.
  • File type -- show only images, documents, or other types.

Manage files

Open the action menu on a file card for the following actions:

  • Rename -- change the display name of the file. The file itself and its type stay the same.
  • Replace -- swap the file with a new version. The replacement must be the same type as the original (for example, an image can only be replaced by another image, a PDF only by a PDF).
  • Download -- save a copy to your computer.
  • Copy Link -- copy a link to the file. For public files this is a direct, shareable link; for internal files it is a link that opens the file inside Eventyflow.
  • Delete -- remove the file from your library.

When you delete a file that is used in a form, product, or room, the image no longer appears there. The affected entries must be updated separately. Check where a file is referenced before deleting it.

While a file is still being scanned, its download, copy-link, and replace actions are temporarily disabled.

Work with several files at once

Select more than one file to show the bulk toolbar, then:

  • Download -- download all selected files. Files that are still being scanned are skipped, and you see how many were downloaded and how many were skipped.
  • Delete -- remove all selected files at once. The same referenced-file warning applies.

Pick a file from the library

When you configure an image on a product, room, or form, you can pick an existing file from your library without leaving the page:

  1. Open the gallery picker from the image field.
  2. Use the search box to find a file. The picker only shows files that fit the field (for example, images).
  3. Click a file to select it, or double-click to select and confirm in one step.
  4. Click Select to use it, or Cancel to close without choosing.

Use files in forms

Files from your library are available when building forms. You can reference them directly from the form builder.
