Definitions of terms used throughout Eventyflow.
2FA / Two-Factor Authentication
An extra login step that requires a code from an authenticator app in addition to your password. See also: Account Settings

Admin
A user with full access to all features in an organization's Eventyflow account.

Automation
A rule that triggers an action (such as a webhook) when something happens in Eventyflow.

Calendar
A timeline view for events. The calendar is currently hidden from the main sidebar; use Operations on the Cockpit and Inquiries for day-to-day planning.

Cart Summary
A summary view shown at the end of a form that lists all selected products and rooms with their quantities and prices. Gives the customer an overview before submitting.

Catalog
A collection of reusable templates and items (such as locations, speakers, or packages) that you can assign to events.

Collection
A reusable group of products or rooms from the catalog. Collections let you bundle catalog items together for easier use in forms -- for example, all catering products in a "Catering" collection. See also: Catalog

Credit
A unit for AI usage in Flow Intelligence. Each AI summary costs credits. See also: Flow Intelligence

Dashboard
The main screen after logging in. In the sidebar it is labeled Cockpit and includes Sales Navigator, Inquiry Analytics, and Operations sections.

Data Mapping
A visual configuration that transforms data between your external system's format and the format Eventyflow expects. Set up in the External Data Sources settings. See also: External Data Sources

Detail Form
A form type used to capture additional structured data about an event or resource, separate from registration forms.

Dossier
An overview tab in an inquiry detail. It summarizes booking outlook, inquiry brief, next step, customer context, and warnings.

Embed / Embedding
Displaying a form on your own website inside an iframe. You configure allowed domains in your workspace settings. See also: Form Settings
Event
A scheduled activity that participants can register for through Eventyflow.

Event Organizer

External Data Source
An external API that provides data for form fields — for example, a list of employees from your HR system. See also: External Data Sources

Flow Intelligence
An AI feature that automatically summarizes form responses. Uses credits. See also: Flow Intelligence Settings
Form
A customizable set of fields used to collect information. Eventyflow uses forms for registrations, detail forms, and public submissions.

Form Builder
The editor where you create and design forms. You add steps, rows, and fields to build the form layout. See also: Form Builder Basics
Form Instance
A published deployment of a form template. Each form can have multiple instances (for example, one per event or time period). Customers fill out an instance, and each submission creates a Form Response. Do not confuse instances with responses.

Form Response
A single submitted answer to a form instance. Each time someone fills out a form, a new response is created. Responses appear in the Inbox and on the form's Responses tab.

Inbox
A central place for messages, notifications, and action items within your organization. In the workspace navigation this is the Inquiry Inbox.

Inquiry
A customer request or booking opportunity. Inquiries can later become booked events.

The place where new form submissions and messages land for daily processing.

Integration
A connection to a third-party service (like a CRM or calendar tool). Different from automations, which send data on specific triggers. See also: Integrations

Lock Policy
A rule on a form field or product that prevents the customer from changing a pre-filled or default value. Used to enforce fixed selections in shared form instances.

Magic Link
A personalized URL sent by email that gives someone access to a form without logging in. See also: Form Instance Access

Notification
An in-app alert about activity in your workspace -- for example, a new form submission, a team mention, or a status change. Manage notifications from the bell icon or the Notifications page.

O
Organization
A company or group account in Eventyflow. Owns events and manages users.

Organizer

Owner
The person who created the workspace. Has the highest permissions, including the ability to delete the workspace or transfer ownership. See also: Team Settings

Participant
A person registered for an event.

Pipeline
A visual board that tracks inquiries through booking stages. In the sidebar this is the Booking Pipeline.

Price Block
A time-based pricing unit for rooms. Each block covers a time slot (for example, "Morning" or "Full day") with its own price. When a room is added to an event, the matching price block is applied. See also: Catalog

Product Group
A way to organize products inside a form's product field. Products in the same group are displayed together. Combined with selection groups, product groups control how customers pick items.

Registration
The process of signing up for an event.

Registration Form
A customizable form that collects participant information during event registration.

Responsible Person
The team member assigned to an inquiry, response, or follow-up.

Sales Navigator
The dashboard area for current open pipeline work: new inquiries, follow-ups, high-potential opportunities, and inquiries that need attention. The date range filter does not change Sales Navigator queues.

Selection Group
A constraint on a product group that limits how many items a customer can pick -- for example, "choose exactly 1" or "choose up to 3". Used inside product fields to control the selection behavior.

Tag
A colored label used to categorize and filter events, forms, products, or rooms. Tags are defined per entity type in Settings > Tags and assigned on each item's detail page. Renaming or recoloring a tag updates the display everywhere. Deleting a tag removes it from all assigned items.

Transformer
A single conversion step in a data mapping rule. Transformers handle tasks like converting date formats, mapping values, or changing data types. See also: Data Mapping

Waitlist
A list of participants waiting for a spot when an event reaches capacity.

Webhook
An HTTP callback that sends real-time notifications to an external URL when something happens in Eventyflow.

Workflow
An automated sequence of steps that runs when a trigger fires. Workflows can include conditions, delays, and actions.

Workspace
