Form Responses and Inquiry Inbox
Every form submission lands in the Inquiry Inbox. From there, you review, process, and track it.
Inquiry Inbox vs. Form Responses
The Inquiry Inbox shows all new submissions across all forms in one place. Form Responses shows submissions for one specific form instance. Use the Inquiry Inbox for daily processing. Use Form Responses when you need to see all submissions for a particular form.
Inquiry Inbox
The Inquiry Inbox is your central place for all incoming form submissions.
Layout
- Two panels: submission list on the left, details on the right.
- On mobile, the list hides when you select an item.
- 50 items per page.
What each item shows
- Responsible person's avatar.
- Submitter email or name.
- Time since submission (e.g. "2 hours ago").
- Form or event title.
- Event date (for event submissions).
- Type badge: Event, Contact, Detail, or Feedback. Some form instances collect feedback instead of inquiries. Feedback responses work the same way but are labeled differently.
- Status badge (for In Progress and Done).
- Blue dot for unread items.
Items are grouped by date: Today, Yesterday, Last week, Older.
Search and filters
- Search across all form data.
- Filter by status: All (except archived), Unread, Read, In Progress, Done, Archived.
Counts
The Inquiry Inbox shows counts for:
- Total items.
- By status: unread, read, in progress, done, archived.
- By type: event, contact, detail, feedback.
- Open items: the sum of unread, read, and in progress.
Status workflow
Each submission goes through a status:

| Read | Opened and seen |
| In Progress | Someone is working on it |
| Done | Finished |
| Archived | Hidden from the default view |
Opening an unread item automatically marks it as Read. You can change the status manually at any time. Statuses are only visible to your team. The customer does not see status changes.
Actions available on each item:
- Mark as Done.
- Mark as In Progress.
- Mark as Read / Mark as Unread.
- Archive.
These actions are in the dropdown menu on list items and in the toolbar of the detail view.
Detail view
Select an item to see its details.
Toolbar
- Mark as Done, Mark as In Progress, Archive buttons.
- More actions menu.
Submission content
- All submitted data shown read-only.
- File attachments displayed inline.
Event context (for event submissions)
- Event title.
- Event date.
- Event status (color-coded: new, qualified, proposal sent, booked, cancelled, completed).
- Time since creation.
- Link to open the event.
More actions
- Expand -- opens the full response view.
- PDF export -- download the response as PDF.
Full response view
A detailed view with editing and version history.
What you see
- Form title and description.
- Submitter name.
- When it was submitted.
- When it was last edited.
- Completion progress (how many fields are filled out of the total).
Editing (detail forms only)
You can edit responses for detail forms:
- Click Edit.
- Fields become editable.
- Make your changes.
- Click Save or Cancel.
Restrictions:
- Only available for detail form responses.
- You can only edit the current version, not older ones.
- You cannot switch versions while editing.
- You get a warning if you try to leave with unsaved changes.
PDF export
- Generate a PDF of the response.
- The PDF uses the form's language.
- Not available while editing.
Completion tracking
See how much of a form has been filled out.
- A progress bar shows the percentage of filled fields.
- Color coding:
- Green: 100%.
- Blue: 75% or more.
- Yellow: 50% or more.
- Red: below 50%.
Visible in the full response view and in the detail forms side panel.
Version history
Every time a response is submitted or edited, a new version is saved.
Navigating versions
- Forward/back buttons to switch between versions.
- Current button to jump to the latest version.
- Version number shown (e.g. "v2").
What each version records
- Version number.
- When it was created.
- Who made the change.
- Reason (e.g. "Updated via API").
Viewing older versions
- All older versions are read-only.
- Only the current version can be edited.
- A warning banner shows when you are viewing an older version.
Version retention
- Versions are automatically deleted 30 days after the event ends.
- The latest version is always kept.
Responsible Person
Assign a response to a team member. Open a response, click the responsible person field, and pick a team member from the list.
Shows:
- Responsible person's name.
- Responsible person's avatar or initials.
- When the assignment was made.
The responsible person is shown in the Inquiry Inbox list and in the detail forms side panel.
Comments
Add internal comments to a response for team communication.
- See all comments with author name and timestamp.
- Add new comments.
- Delete comments (if you have permission).
- Comments are internal only -- the person who submitted the form cannot see them.
AI summary
For event submissions, you can generate an AI summary.
- Click Summarize with Flow to start.
- A progress animation shows while it is being created in the background.
- The summary appears in a highlighted section.
- Click Regenerate to create a new summary.
The summary is created in the background and saved for later. When you come back, it is already there.
Response metadata
Each response stores:
- Submitter email.
- Submitter name.
- IP address.
- Browser info.
- When it was submitted.
- When it was last edited.
- Whether it was created by the system.
